1. About Vision Design Studio

Vision Design Studio is a creative floral design and event styling studio based in Gaithersburg, Maryland, United States. We provide floral design, event styling, creative direction, event production support, workshops, and related design services for weddings, private celebrations, corporate gatherings, workshops, and special events in Maryland, Washington, DC, Virginia, and destination locations.

For purposes of these Terms, “Vision Design Studio,” “we,” “us,” and “our” refer to Vision Design Studio and its owners, team members, contractors, representatives, agents, and service providers.

2. Website Use

You may use this website for lawful, personal, and informational purposes only. You agree not to:

  • Use the website for fraudulent, misleading, harmful, or unlawful activity.

  • Interfere with the website’s operation, security, or availability.

  • Copy, reproduce, scrape, distribute, or exploit website content without written permission.

3. Inquiries and Consultations

A booking is confirmed only when Vision Design Studio accepts the project in writing and any required proposal, contract, invoice, deposit, retainer, or payment has been completed.

We reserve the right to decline any inquiry, consultation, project, workshop registration, or service request at our discretion.

4. Event Services

Vision Design Studio may provide services including, but not limited to:

  • Floral design.

  • Wedding floral design.

  • Event styling.

  • Creative direction.

  • Event design consultation.

  • Custom floral installations.

  • Corporate event styling.

  • Private celebration design.

  • Workshop experiences.

  • Editorial or creative production support.

The exact scope of services, deliverables, dates, fees, payment schedule, cancellation terms, rental terms, installation requirements, and other project-specific details will be outlined in a written proposal, invoice, contract, or service agreement.

If there is a conflict between these website Terms and a signed written agreement, the signed written agreement will control for that specific project.

5. Floral Design and Product Availability

Flowers, greenery, plants, natural materials, vessels, décor items, props, candles, and design elements may vary due to seasonality, availability, weather, supply chain conditions, vendor limitations, product quality, venue restrictions, or design considerations.

Vision Design Studio reserves the right to make reasonable substitutions while preserving the overall design intent, color palette, style, and quality of the project.

Exact flower varieties, colors, sizes, tones, textures, or materials cannot be guaranteed unless expressly stated in a written agreement.

6. Client Responsibilities

Clients are responsible for providing accurate, complete, and timely information, including but not limited to:

  • Event date, time, and location.

  • Venue rules and access requirements.

  • Delivery, setup, installation, and breakdown windows.

  • Contact information for planners, venues, vendors, or authorized representatives.

  • Guest counts, floor plans, timelines, and access instructions.

  • Design preferences, inspiration, limitations, and priorities.

  • Building, parking, loading dock, elevator, stair, security, insurance, or permit requirements.

  • Any restrictions on candles, hanging installations, floral disposal, confetti, structures, water use, open flames, or venue-approved vendors.

Vision Design Studio is not responsible for delays, additional costs, service limitations, design limitations, or project issues caused by incomplete, inaccurate, late, or withheld information.

7. Venue Access, Installations, and Safety

For services requiring delivery, setup, installation, breakdown, or removal, the client must ensure that Vision Design Studio has reasonable and safe access to the venue or event location.

The client is responsible for obtaining any necessary venue approvals, permissions, permits, loading access, parking access, installation permissions, ladder approvals, rigging approvals, elevator access, security clearance, or other site requirements unless otherwise agreed in writing.

We may refuse, modify, delay, or cancel installation work if site conditions are unsafe, impractical, restricted, inaccessible, or materially different from what was disclosed before the event.

8. Rentals, Vessels, Props, and Décor Items

Any rented, borrowed, or studio-provided vessels, props, structures, candles, containers, stands, signage, décor, installations, or other materials remain the property of Vision Design Studio or its suppliers unless otherwise stated in writing.

Clients may be responsible for loss, theft, breakage, damage, missing items, excessive cleaning, late returns, or replacement costs.

Specific rental terms may be provided in the applicable proposal, invoice, or agreement.

9. Workshops and Educational Experiences

Vision Design Studio may offer workshops, floral classes, demonstrations, private creative experiences, or educational events.

Workshop participation may be subject to availability, registration deadlines, payment requirements, cancellation policies, age restrictions, capacity limits, safety rules, and other terms provided at the time of registration.

Workshop content is for educational and creative purposes only. Participants may not reproduce, teach, resell, publish, distribute, or commercially exploit workshop materials, methods, handouts, images, videos, floral recipes, demonstrations, or educational content without written permission from Vision Design Studio.

10. Payments, Deposits, and Retainers

Fees, deposits, retainers, payment schedules, and accepted payment methods will be stated in the applicable proposal, invoice, checkout page, registration page, or written agreement.

Unless otherwise stated in writing:

  • Deposits and retainers may be non-refundable.

  • Dates are not reserved until required payment and written confirmation are completed.

  • Late payments may delay planning, design, production, ordering, delivery, installation, or project execution.

  • Additional services, rush requests, expanded scope, extra labor, extended hours, additional materials, venue-related requirements, parking costs, tolls, delivery changes, or post-contract changes may result in additional fees.

  • Client-requested changes are subject to availability, timing, design feasibility, and additional cost.

11. Cancellations, Postponements, and Changes

Cancellation, postponement, and rescheduling terms may vary by project, event, or workshop and will be stated in the applicable written agreement, invoice, registration terms, or proposal.

Because event design and floral production require advance planning, sourcing, reserved calendar availability, labor, vendor coordination, and product ordering, certain payments may be non-refundable even if an event is canceled, postponed, reduced, relocated, or changed.

Requests for changes must be submitted in writing. We will make reasonable efforts to accommodate changes, but changes are subject to availability, timing, product sourcing, design feasibility, and additional fees.

12. Force Majeure

Vision Design Studio is not liable for delays, non-performance, partial performance, service limitations, or project changes caused by circumstances beyond our reasonable control, including but not limited to:

  • Severe weather.

  • Natural disasters.

  • Fire, flood, or power failure.

  • Pandemic, public health restrictions, or illness.

  • Government action.

  • Labor disruptions.

  • Transportation issues.

  • Venue closures.

  • Supply chain disruptions.

  • Product shortages.

  • Vendor failure.

  • Accidents.

  • Safety concerns.

  • Utility failures.

  • Acts of God or other events outside our control.

In such circumstances, we will make reasonable efforts to communicate with the client and provide alternative solutions where commercially and practically reasonable.

13. Photography, Video, and Portfolio Use

Unless otherwise agreed in writing, Vision Design Studio may photograph, record, or document its floral designs, installations, event details, workshops, creative direction, and related work for portfolio, website, social media, marketing, editorial, educational, and promotional purposes.

We will not intentionally publish private client contact information.

If a client requires confidentiality, privacy restrictions, or delayed publication, those requirements must be agreed in writing before the event, workshop, or service date.

14. Intellectual Property

All website content, brand elements, text, images, graphics, designs, layouts, logos, videos, workshop materials, design concepts, proposals, mood boards, sketches, floral recipes, creative direction, styling concepts, and other materials created by Vision Design Studio are owned by Vision Design Studio or used with permission.

You may not copy, reproduce, modify, distribute, publish, sell, or use our intellectual property for commercial purposes without written permission.

15. Third-Party Links and Service

Our website may link to third-party websites, payment processors, scheduling tools, social media platforms, venues, vendors, or external resources.

We are not responsible for third-party websites, content, privacy practices, terms, services, products, errors, delays, or policies.

Your use of third-party services is governed by those third parties’ own terms and policies.

Clients are responsible for reviewing contracts, venue rules, insurance requirements, permits, and applicable laws with their own advisors when necessary.
